Refund & Cancellation Policy

This Refund and Cancellation Policy explains how billing, cancellations, and refunds work for paid services provided by Quixas Technology LLC ("Quixas," "we," "our," or "us"). It applies to purchases made through our authorized payment provider, who acts as Merchant of Record for those purchases. It supplements, and does not replace, our Terms of Service and any separately executed Pilot Agreement, Order Form, or Master Services Agreement ("MSA").
1. Payment Processing and Merchant of Record
Payments for Quixas services are processed through our authorized payment provider, who acts as Merchant of Record for online purchases. Your transaction, billing relationship, and any refund for that purchase are handled by that provider in accordance with their buyer terms and refund policy. Receipts, invoices, cancellations, and refunds for online purchases are administered by the provider on our behalf. Where their buyer terms give you rights, those rights apply to your purchase.
2. Your 14-Day Right to a Refund
You have the right to withdraw from your purchase for any reason within 14 days of completing your transaction. If you exercise this right, you will receive a full refund of the charges you paid, unless, during that 14-day period, you started using or benefiting from the service after agreeing during your purchase that we could begin providing it before the end of the 14-day period.
Refunds, where due, are issued to the original payment method. To request a refund or cancellation, use the buyer portal or support channel linked in your receipt from our payment provider, or contact us at info@quixasit.com and we will help.
3. Onboarding and the Pilot
Your engagement begins with a one-time onboarding fee that covers implementation and configuration of the Quixas platform for your organization, including configuring your completeness rules and preparing your Quixas environment. The onboarding fee covers your initial 30-day pilot period, and no subscription fee applies during those first 30 days.
Onboarding is a service that begins promptly after purchase. Where you have requested immediate commencement of the service and acknowledged this during checkout, any refund will reflect the portion of the service already provided, as described in Section 2.
4. Subscriptions
Subscriptions are billed in advance on a recurring basis and include a monthly allotment of claims along with platform access and rule-set maintenance.
You can cancel your subscription at any time. Cancellation takes effect at the end of your current billing period; you are not charged again after that, and you keep access to the platform and to any remaining included claims through the end of the period you have already paid for.
Subscription purchases are subject to the refund rights described in Section 2. Included claims are a monthly allotment; unused included claims do not roll over and expire at the end of each billing period, including the final period after cancellation.
5. Claim Packs
Claim packs are prepaid, one-time purchases that add claims to your balance on top of an active subscription, for use during periods of higher demand.
Claim packs are subject to the refund rights described in Section 2. Once claims from a purchased pack have been consumed, that portion of the service has been provided. Purchased pack claims do not expire and remain available in your balance until used.
6. Billing Errors
If you believe you have been charged in error, please contact us as soon as possible at info@quixasit.com. We will investigate the issue and, where appropriate, coordinate any correction or refund through our payment provider.
7. Negotiated Agreements
Where services are provided under a separately executed Pilot Agreement, Order Form, or MSA, the payment, cancellation, and refund terms of that agreement govern for those services. Nothing in this policy or any such agreement reduces the rights described in Section 2 or any mandatory rights you have under applicable law.
8. How to Cancel or Raise a Billing Question
To cancel a subscription or raise a billing question, use the buyer portal or support channel linked in your receipt from our payment provider, or contact us at info@quixasit.com with your account details. Refunds, where due, are issued through our payment provider to the original payment method.
